Build a specification before requesting pricing
A public fleet graphics request should identify the vehicles, required markings and approval process clearly enough for a supplier to understand the scope. Prepare a vehicle schedule with unit identifiers, body styles, panel dimensions and quantities. Separate agency branding from equipment labels and variable numbering. Attach the artwork revision that bidders should use and identify who can authorize a revised proof. Define the deliverables and acceptance process
Describe whether the request covers printed graphics, cut lettering, replacement sets or labeled kits. Record each intended surface and any required material specification. If the agency requires samples, color matching, packaging labels or installation instructions, include those requirements in the request rather than assuming they are included. List the inspection criteria and the person responsible for accepting the delivered graphics. Separate installation from print supply and identify who will measure and prepare the vehicles.
Keep procurement requirements with the solicitation
Provide the solicitation reference, submission deadline, authorized contact and delivery locations. Ask the procurement officer which clauses and supporting documents apply. Request a reviewed scope
For replacement programs, provide the approved artwork version and explain how individual units will be reordered. State whether freight must be separated from the graphics cost and whether shipments will go to one depot or several destinations.
