Create one schedule for the vehicles
Give each vehicle a stable unit identifier and record its model, year, body style and measured graphic area. Mark quantities as individual pieces, pairs or complete vehicle sets. Those units are not interchangeable. Include left and right photographs where the panel shapes differ. For an existing fleet, distinguish a complete new design from replacement graphics that must match a previously approved version.
Separate artwork from production instructions
Attach the editable artwork when available and name the revision to quote. Identify which phone numbers, unit numbers and service descriptions vary by vehicle. Explain whether the request includes artwork preparation or only printing from approved files. Record the surface, desired finish, removal expectations and any specified material. Ask the supplier to identify assumptions and exclusions in the response so a low price is not mistaken for an identical scope.
Specify packaging and delivery
List the delivery ZIP codes and the number of packages expected at each destination. Ask whether the graphics can be grouped by unit and whether the labels will match the vehicle schedule. Record the required arrival date separately from the date artwork will be approved. Production lead time starts from an agreed release point, and carrier transit depends on the destination and service selected. Neither the configurator nor a saved cart guarantees an arrival date.
Compare the complete responses
Review quantities, material, artwork work, freight, installation exclusions and acceptance criteria together. Confirm which proof version is approved before releasing production. Keep the supplier response with the vehicle schedule so later replacements can reference the same specification.
